We are looking for an Administrative Assistant to support our Sales / Marketing leadership team in Franklin, TN.


Reporting into the Leadership team, some of the duties and responsibilities for this role include :

  • Acting as the point of contact between the executives and internal or external colleagues
  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
  • Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Calendar and diary management, including managing the executive’s calendar, including making appointments and prioritizing the most sensitive matters.

The Executive Assistant is the "door keeper" to maintaining the executive's schedule and time management with all interactions

  • Producing reports and presentations. Completing expense reports and confirming reimbursement on the executive's behalf
  • Manage and support office access badging, visitor management system and workspace management.
  • Manage all USPS, FedEx, UPS and courier shipments and distributions
  • Prepare and deliver office related communications to all staff
  • Assist in the organization of work functions and events, such as quarterly and annual reviews with top management
  • Making extensive travel arrangements and detailed travel itineraries
  • Performing minor accounting duties
  • Welcoming visitors and identifying the purpose of their visit before directing them to the appropriate department
  • Maintaining comprehensive and accurate records for invoicing and budget
  • Maintaining the current filing and database system, and looking for ways to improve current systems
  • Coordinate with IT team to ensure all systems are maintained and functioning properly and the local team has the equipment and tech support required to operate efficiently
  • Accommodate for the general needs of the board. Taking the initiative to seek out where support is required, without being asked.

Anticipating the needs of executives before they may even realize upcoming tasks

Education and Experience :

  • High School
  • Associate degree in administrative assisting is a plus
  • Previous experience in secretarial job or personal assistant
  • Ability to work with other assistants within the office and offer backup support when required.
  • 4 + years of corporate service experience
  • Strong ability to multitask and meet deadlines while still servicing the customers effectively
  • Strong skills in Microsoft Office software, especially MS Outlook, Word, Excel and PowerPoint
  • Certifications or completed coursework on administrative software are recommended.
  • Strong interpersonal skills
